1. QuickBooks Online: Best Scalable Option For Growing Businesses

QuickBooks Online

Read our Review

Best for businesses with up to 25 users needing strong invoicing and mobile apps.

QuickBooks has been one of the biggest names in accounting since the dawn of time (or at least it feels that way). With advanced features, strong accounting, full-featured mobile apps, and over 650+ integrations, it’s easy to see how this cloud-based software is the favorite choice for over 2.2 million users and thousands of accounting firms.

In the past, QuickBooks Online (QBO) was unsuited for larger businesses. Recently, QuickBooks Online added a brand new pricing plan called QuickBooks Advanced which offers up to 25 users, customizable user permissions, and other features like Priority Care, making it a viable accounting solution for large businesses.

Granted, this plan is a bit expensive, but if your company needs more advanced reporting, the Fathom reporting subscription that is included with QBO Advanced may be more than worth the cost. Plus, QuickBooks Online also has the best invoicing options and automations of any program on this list. The only other potential downsides to consider are poor customer support and occasional navigational difficulties.

Pros

  • Advanced features
  • Strong accounting
  • Numerous integrations
  • Easy to use

Cons

  • Poor customer support
  • Only supports 25 users

QuickBooks Online Pricing

QuickBooks Online offers four pricing plans ranging from $25 – $150/month. The two biggest plans, Plus ($70/month with up to 5 users) and Advanced ($150/month with up to 25 users), are the best suited for large businesses. There are three payroll options priced at $45/month + $4/month per employee; $80/month + $4/month per employee; or $125/month + $10/month per employee.

QuickBooks Online Features

Best Accounting Software for Larger Businesses

QuickBooks Online has a strong feature set and great accounting capabilities like expense tracking, bank reconciliation, fixed asset management, a chart of accounts, accounts payable, journal entries, and up to 80 customizable reports (depending on your plan). Here are some of QuickBooks Online’s other features:

  • Invoicing
  • Estimates
  • Contact management
  • Inventory
  • Project management
  • Time tracking
  • Budgeting
  • Packing slips
  • Purchase orders
  • Tax support
  • Multiple currencies

One of the biggest selling points of QuickBooks Online is invoicing. There are plenty of attractive, customizable templates to choose from and advanced automations like recurring invoices, late invoice reminders, and the ability to auto-schedule invoices.

QuickBooks Online also offers a lending service called QuickBooks Capital, so you can manage all areas of your business’s finances in one location. A new add-on called QuickBooks Live is also available. This service pairs you with a virtual bookkeeper to help set up your account, review and close accounts, and provide expert accounting advice. Read our complete QuickBooks Online review to learn everything this software has to offer.

Ease Of Use

QuickBooks Online is fairly easy to use, although there are some navigational difficulties. While the software has an attractive UI and seems well-organized, some features are hidden in odd places, making them more difficult to find.

Customer Support

QuickBooks Online’s customer support is hit or miss. Sometimes your call is answered right away; other times, you’re waiting for upwards of 30 minutes just to talk to someone. Customer support reps vary in terms of helpfulness and knowledge. There is no email support either. There is a recently redesigned help center, and the company is working on bettering their response times and offering more in-software help options (although they still have a ways to go).

Luckily, if you go with the QuickBooks Online Advanced plan, you will automatically receive a dedicated account manager and Priority Care support (meaning all of your calls go straight to the front of the line).

When To Use QuickBooks Online For Your Accounting

QuickBooks Online has always been ideal for small businesses, but its largest plan makes it a viable option for medium to large businesses who need cloud-based software with strong accounting, features, and mobile apps. The software is not ideal for businesses with over 25 users.

2. Xero: Best Overall For Medium To Large Businesses

Xero

Visit Site

Read our Review

Best for medium- to large-sized businesses searching for the full accounting package.

Xero is cloud-based accounting software that has been giving QuickBooks a run for its money since 2006. The software offers strong accounting, advanced features, unlimited users, and is the software of choice for over 1,000,000 users and 16,000 accounting firms.

While Xero has a semi-steep learning curve, that’s the price you pay for advanced features like detailed contact management, inventory, project management, time tracking, budgeting, and more. The company’s customer service and mobile apps leave something to be desired, but Xero still receives a large number of positive customer reviews. Xero also has some of the best security on the market when it comes to cloud-based accounting and offers 800+ integrations.

The software is ideal for medium to large businesses in need of multiple users and advanced features at an affordable monthly cost.

Pros

  • Unlimited users
  • Advanced features
  • Strong accounting
  • Numerous integrations

Cons

  • Poor customer support
  • Steep learning curve

Xero Pricing

Xero offers three pricing plans ranging from $9 – $60/month. Each plan comes with unlimited users. The larger the plan, the more features you have access to. Xero does not offer payroll; however, it does integrate directly with Gusto, starting at $39/month + $6/month per person.

Xero Features

xero dashboard for large businesses

Xero offers a large number of features. In terms of accounting, the software supports expense tracking, bank reconciliation, fixed asset management and depreciation schedules, a chart of accounts, accounts payable, journal entries, and over 55 customizable reports. Some of our other favorite features include:

  • Invoicing
  • Estimates
  • Contact management
  • Expense claims
  • Inventory
  • Project management
  • Time tracking
  • Packing slips
  • Purchase orders
  • Budgeting
  • Multiple currencies
  • Class tracking

Xero also has several automations to save you valuable time. You can set recurring invoices, automatic invoice reminders, and default email messages to name a few. Read our complete Xero review for more information on Xero’s features.

Ease Of Use

Xero is easy to use once you get to know the software. Although the interface is well-organized, initially setting up the software and learning how Xero works can be difficult. If you can get past the semi-steep learning curve, Xero’s advanced features and other offerings are more than worth it.

Customer Support

This is where Xero drops the ball. Xero offers poor customer support. There’s no phone support and email response times are long (and often the responses are unhelpful). To Xero’s credit, there is a help center with many how-to articles. If you need extra help, download our complete How To Set Up Your Xero Account ebook for free.

When To Use Xero For Your Accounting

Xero is a great choice for medium- to large-sized businesses. It offers unlimited users, tons of features, and strong accounting to meet almost any business need — and what Xero doesn’t have, one of its 800+ integrations will.

3. FINSYNC: Best For Cash Flow Management

FINSYNC

Visit Site

Read our Review

Best for medium- to large-sized businesses looking for easy to use software with good customer support.

FINSYNC may be a newer software program with only a few thousand users, but this is one accounting solution that shouldn’t be underestimated. Launched in 2014, FINSYNC was designed to be the all-inclusive accounting software created to “get your finances in sync.” This cloud-based software provides impressive features and unlimited users in a well-organized, easy-to-use package. The company also has wonderful customer support, which is more than its competitors Xero and QuickBooks can say.

While the software has a lot going for it, there are a few drawbacks, like a lack of mobile apps and a limited selection of integrations. But if your company doesn’t rely on these, FINSYNC could be an affordable choice.

Pros

  • Unlimited users
  • Strong cash flow & anlaytics
  • Affordable
  • Easy to use

Cons

  • Limited features
  • Limited integrations
  • No mobile apps

FINSYNC Pricing

FINSYNC offers three pricing plans ranging from $0 – $45/month, but the largest plan is the most suited for running a large business (as the $0/month plan only includes financing and the $10/month plan only includes payments). You can add the project module for an additional $20/month and payroll for an additional $30/month.

FINSYNC Features

finsync dashboard

For such a young company, FINSYNC offers an impressive number of features. In terms of accounting, you’ll find staples like expense tracking, bank reconciliation, accounts payable, and a chart of accounts. The software could offer more reports but it does cover the basics. In addition to these features, FINSYNC also provides:

  • Invoicing
  • Estimates
  • Contact management
  • Inventory
  • Time tracking
  • Budgeting
  • Class tracking

One of the most unique aspects of FINSYNC is its cash flow feature. The software helps you visualize and analyze your cash flow so you can have more control over your business’s finances and better plan for your company’s future. Read our full FINSYNC review to learn more about these features.

Ease Of Use

FINSYNC offers a beautiful UI that is well-organized and easy to use. The company also offers a “concierge” service where you can pay to have a FINSYNC expert set up your account for you — not a bad option for businesses dreading the transition to a new program.

Customer Support

FINSYNC has great customer service with knowledgable support reps and quick response times. You can contact support via phone, email, and live chat, or you can check out one of FINSYNC’s many resources, like its comprehensive help center.

When To Use FINSYNC For Your Accounting

FINSYNC is a great option for medium to larger businesses with multiple users looking for advanced features and cash flow management — plus, FINSYNC could be cheaper than both Xero and QBO. The software is not ideal for businesses in need of mobile apps or a large number of integrations.

4. Honorable Mention: NetSuite ERP

NetSuite ERP and SRP

Visit Site

Read our Review

Best for businesses that have outgrown their accounting software and need a full ERP solution.

First things first: NetSuite ERP is not ideal for large businesses. It’s ideal for enterprises that have grown out of their accounting software and are ready for full ERP software.

ERP software is a complete business management solution that encompasses accounting, analytics, business planning, inventory, sales management, and human resources, all-in-one.

NetSuite ERP goes far above and beyond anything Xero and QuickBooks Online can offer. The software supports countless features, 450+ integrations, strong security, and multiple NetSuite modules to fit any other business needs you may have. All of this does come at a hefty price, but for businesses looking for a full ERP, NetSuite is a good place to start.

Pros

  • Numerous features
  • Suited for enterprises
  • Advanced user dashboards & permissions
  • Numerous integrations

Cons

  • Very expensive
  • Steep learning curve

NetSuite Pricing

Since NetSuite is a full ERP system, prices vary depending on your specific company’s needs. For this reason, NetSuite does not disclose pricing information and potential users. However, we can tell you that the software can range anywhere from $10,000/year to $1,000,000/year. NetSuite ERP includes payroll, but you will have to pay extra for customer support. Contact NetSuite directly for a custom quote.

NetSuite Features

netsuite erp dashboard

NetSuite has an incredible number of features. In terms of accounting, the software offers expense tracking, bank reconciliation, a chart of accounts, accounts payable, ample reports, and more. Here are some of the other features you can expect with NetSuite ERP:

  • Invoicing
  • Estimates
  • Contact management
  • Vendor management
  • Inventory
  • Payroll
  • HR
  • Budgeting
  • Class tracking

One of the most notable aspects of NetSuite ERP is the level of analytics and reporting available. The software shows your business’s KPIs (Key Performance Indicators) and offers dozens of reports. NetSuite is also incredibly customizable and is well-suited for international businesses in need of multiple currency support.

It’s worth noting that NetSuite SRP, a complete business management solution for service-based businesses, is also available. Read our full NetSuite ERP & SRP review to learn more.

Ease Of Use

NetSuite has a steep learning curve sheerly because of the vast amount of functions and feature depth that the software provides. The software is well-organized, which helps you get acquainted more quickly with all NetSuite can do. To get a better idea of what it’s like to use NetSuite, contact the company directly for a demo of the software.

NetSuite’s setup process is far different from that of the other cloud-based accounting solutions on this list. While NetSuite is cloud-based, the implementation process to get the software up and running can take anywhere from a couple of weeks to a few months. Contact NetSuite directly for more details.

Customer Support

Some support options are available to all NetSuite users, like phone calls and a detailed help center. However, users have to purchase technical support at an additional cost. NetSuite offers three different customer support options: Silver, Gold, and Platinum. Contact the company directly for pricing details.

When To Use NetSuite For Your Accounting

NetSuite is ideal for enterprises in need of a cloud-based ERP solution with advanced features, strong reporting, and numerous integrations. The software is not ideal for the average medium or large business as the sheer number of features and the steep cost would be overkill.

When Should You Upgrade To Enterprise Software?

QuickBooks Enterprise Editions

Choosing the right accounting software is already difficult., but growing large businesses have the added difficulty of deciding whether they should use accounting software or upgrade to a full ERP solution.

Here are some things to consider when you’re deciding whether to move to a full ERP system:

  • Complex Accounting & Feature Needs: One of the first signs that you’ve outgrown your accounting software and may need an ERP system is that your accounting has gotten very complicated. If your business has complex accounting needs or feels like it’s lacking the key features it needs to run smoothly, it may be time to start considering enterprise solutions. If your company acquires subsidiary companies, your normal run-of-the-mill accounting software probably won’t cut it.
  • Better Reporting & Analytics: ERPs typically offer much better reporting and far more detailed analytics than accounting software. When running an enterprise, it’s important to have all of the data you could possibly need about your business at your disposal. If you are constantly having to customize your accounting reports or supplementing your existing accounting software with dozens of custom Excel templates, it may be time to look to a more advanced financial management software.
  • Too Many Integrations: It’s normal for businesses to have multiple integrations working with their accounting software. Often a company using QuickBooks Online will also use TSheets for time tracking, PayPal for payment processing, and MailChimp for email marketing. However, if your business is using an insane number of integrations, it may be time to look for an ERP so you can have all of your business operations in one spot. ERPs are more expensive than accounting software, but if you add up all of your integration subscriptions, you may already be paying an arm and a leg to run your business.
  • Large Number of Employees: If you have an incredibly large number of users, it may be time to move on to a full ERP system. Not only do ERPs have HR features that will help you manage your employees better, but ERPs will also scale with your enterprise as you continue to hire –accounting software won’t. For example, you can add as many employees as you’d like in QuickBooks Online, but the company itself admits that you’ll start experiencing performance issues if you reach 800+ employees.
  • Strong Budget: As you probably gathered from reading about NetSuite, ERPs don’t come cheap. Before making the switch, you want to make sure your company can comfortably afford a full ERP system. Part of this is also making sure you shop around to find the best deal for your business (not all ERPs costs $10,000+/year like NetSuite).

Deciding Which Software Is Right For You

With three strong large business accounting packages to choose from, it can be difficult to know which software is right for your business. It all comes down to your business’s needs. Ask yourself:

  • Which features does my company need to succeed?
  • How much accounting experience do I have? Do I want an easy-to-use option, or do I have the time and ability to learn more complicated software?
  • How important is customer support to me?
  • Which integrations do I need?
  • How much can my business afford to spend on accounting software?

All of these questions will help you narrow down your business’s accounting software wishlist and illuminate which software is the best fit for you.
